E-Tip 205 - Conflict Resolution Skills: They're More Important than You Think!

Step #1. Define The Problem - You need to define exactly what the problem is and who was/is involved - typically the sooner the better. And if you are discussing an issue with a team member, do not assume anything or take sides. We also suggest that everyone involved agrees on what the problem is so there are no misunderstandings.

Step #2. Discover The Underlying Cause Of The Conflict - While you want to resolve the problem as quickly as possible, take the time to find the underlying cause of the problem. Was it simply a misunderstanding or was it due to miscommunication on someone's end? How about someone not defining the scope of the project in detail? On the other hand, was the conflict due to failure to follow certain processes or procedures? No matter what, understanding how the conflict originated will help you come up with a solution faster and increase your chances of preventing the problem from reoccurring.

Step #3. Brainstorm Solutions - Go to a white board or flip chart and write out a list of possible solutions. If appropriate, brainstorm with those involved in the conflict to find even more solutions and empower them to become part of the solution. It pays to spend extra time on the list if the problem is rather complex in nature or requires communication with a team member, department or remote division to solve.

Step #4. Narrow Down The Possible Solutions - Rank the solutions in order with #1 being the best solution. Remember to look at cost, resources and the time required when considering each solution. If you are working with another team, be sure to get their input and the pros and cons of each solution(s) before you choose the one to implement.

Step #5. Make A Decision And Take Action - After you have made a decision to implement a specific solution, take action immediately. Waiting can magnify a problem and have a huge ripple effect on your organization, especially if there is a customer involved. Also, the longer the problem goes unresolved, the more stress the conflict could cause for everyone.

Summary - To solve your conflict, it is important to follow these steps in order. Remember that every problem has a solution! Solving problems quickly and with a solution-oriented approach will lessen stress in the workplace and create a better working environment for everyone.
